The tension of budget negotiation
For most agency owners, a conversation about increasing budgets is stressful. You are afraid the client will react negatively or even leave. Yet, regular budget adjustments are essential for the growth of both the agency and the client. Here are five strategies that work.
Strategy 1: Result-linked increase
"Last year, your followers grew by 40% and revenue via Instagram by €23k. To maintain this level with increased advertising costs, we are increasing the retainer by €200 per month starting from Q3."
This works because it links the increase to proven results. Avoid vague formulations — use concrete numbers.
Strategy 2: Adding a new service (upselling)
Instead of raising the existing retainer, offer a new service. "We noticed you don't have a TikTok presence — would you like us to run a light campaign there? €500 extra per month, three posts a week."
Clients respond better to "something new" than to "making existing things more expensive."
Strategy 3: Annual inflation clause
In contracts: build in an "annual indexation of 5%" clause. Clients easily accept this at the time of signing. A year later, it is applied automatically — no conversation needed.
Strategy 4: Anchoring with a higher option
Offer three packages: Standard (current), Plus (current + €300), Premium (current + €700). The majority chooses the middle one. Standard clients are often ready to move to Plus.
Strategy 5: Honest explanation of cost increases
"Our tooling costs have risen by 15% this year. To maintain our service level, we need to increase our rates by 8% starting from July." Honest and factual works better than vague reasons.
What does NOT work
Do not raise prices during a crisis. Do not do it without advance notice (at least 60 days). Do not do it without proof that current results make it worthwhile.
Realistic increase frequency
A 5-10% increase every year is normal and accepted. Agencies that never raise prices slowly erode their margins. A client of five years often still pays €1,000/month while the market value is €1,500.
The question you need to ask yourself
Before you have a conversation: "If this client were to cancel tomorrow, how long would it take me to find a replacement at €X-€Y more?" If the answer is 1-3 months, you are in a stronger position than you think.
