What do I see on the dashboard?

The dashboard is your command center. At the top you see **KPI cards** showing things like the number of active clients, open tasks, monthly revenue and net profit. Below that you find a revenue chart, an activity feed with recent actions and a panel with quick actions.

All widgets are customizable — drag them, resize them, or add new widgets via the sliders icon in the top right.

How do I customize the widgets on my dashboard?

Accepted Answer

Click the sliders icon in the top right to open **Customize** mode. In that mode you can:

- **Drag** to change widget order
- **Adjust width** from 1/4 to 4/4 of the page via the span menu on each widget
- **Drag height** with the handle at the bottom of each widget
- **Remove** with the cross icon
- **Add extra widgets** via the **+** button at the top

Your layout is automatically tied to your account, so the layout stays the same across all your devices. Click the sliders icon again to exit edit mode.

Which widgets can I add?

In **Customize** mode click **+** to choose from a list of widgets, such as:

- KPI cards (clients, tasks, revenue, profit)
- Revenue chart (monthly or yearly view)
- Activity feed
- Quick actions
- Upcoming meetings
- Open tasks for you
- Top clients (by revenue or activity)
- Monthly notes

Each widget can be added multiple times with its own filters — e.g. two KPI cards next to each other showing different numbers.

Question 4

How do I use the quick search panel (Cmd+K)?

Accepted Answer

Press **Cmd+K** (Mac) or **Ctrl+K** (Windows) anywhere in the portal to open the quick search panel. Type a few letters to instantly find a client, task or page — use the arrow keys to navigate, **Enter** to open and **Esc** to close.

The panel automatically filters on pages you have access to — an appointment setter for example will not see financial or agency-only pages.

Tip: type a client name and jump directly to that profile without first navigating to Clients.

Question 5

How do I interpret the KPI cards at the top?

The KPI cards show summaries of:

**Active clients** – the current number of clients with status Active.
**Open tasks** – tasks that are not yet completed, across all clients.
**Monthly revenue** – the calculated or manually overridden income for the current month.
**Profit** – revenue minus all costs for the current month.

Click a card to jump to the corresponding detail page.

What does the activity feed show?

The activity feed shows a chronological overview of recent actions in the portal: completed tasks, created designs, updated client profiles, sent reports and new bookings.

Each item shows the relevant client, the type of action and how long ago it happened. Click an item to jump to the corresponding spot.

How do the quick actions on the dashboard work?

The **Quick actions** panel contains buttons that let you perform frequently used tasks in one click, like adding a new client, creating a task or jumping to the financial page.

Ideal for daily routine actions without first navigating through menus.

Question 8

How do I read the revenue chart?

Accepted Answer

The chart shows revenue per month for the current year. Hover over a bar to see the exact amount for that month. Months with a manual override are recognizable by a distinct marker.

Using the toggle at the top of the widget you can switch between revenue, margin and net profit.

Question 9

Why don't the numbers on the dashboard match what I expect?

Accepted Answer

Check the following:

**Active clients** – clients with status Inactive or Paused are not counted.
**Open tasks** – only uncompleted tasks count. Check whether the GHL sync is up to date.
**Revenue** – if a manual override is set for the month, the automatically calculated amount is not used.
**Profit** – costs that have not yet been added can temporarily show profit too high.

If numbers still don't match after a refresh, get in touch via the Conversation tab.

Question 10

How do I reset the dashboard layout to the default?

Accepted Answer

Open **Customize** mode via the sliders icon and choose **Restore default** at the bottom. You get the original widget order and sizes back.

Note: this action cannot be undone. Want just one widget back? Remove it and add it back via **+**.

Question 11

Does the dashboard also work well on my phone?

Accepted Answer

Yes. On mobile, all widgets automatically stack vertically in a single column — the width settings you choose on desktop are skipped on mobile for readability.

For the best mobile experience, install Senly as a PWA: open the portal in Safari (iOS) or Chrome (Android), choose **Add to home screen** and Senly works like an app.

How do I share my dashboard layout with colleagues?

Accepted Answer

The dashboard layout is personal — every user has their own layout that fits their role and tasks. A setter finds a different dashboard useful than an admin.

Want to help a colleague get started? Take a screenshot of your layout and show them which widgets you find important. Standard templates per role are on the roadmap.

Why does my dashboard differ from a colleague's?

Two reasons:

**1. Role-dependent widgets** — some widgets (like financial figures) are only visible to admins and managers. Setters and closers see role-specific widgets.
**2. Personal layout** — every user can configure their own dashboard via the sliders icon.

Missing widget? Open **Customize** and click **+** to see which widgets are available for your role.

How do I add a new client?

Accepted Answer

Go to the **Clients** page and click **+ New client** in the top right. Enter the name, industry, service package (Management or Growth) and the monthly rate. After saving, the client appears immediately in the client grid.

Tip: pin a client via the pin icon on the client card — that way a client always stays at the top.

How do I search for a client?

Accepted Answer

Use the search bar at the top of the Clients page to search by name directly. You can also press **Cmd+K** or **Ctrl+K** anywhere in the portal to open the quick search panel — it jumps directly to the client or page you type.

Search results appear as you type.

Question 16

How do I archive or deactivate a client?

Accepted Answer

Open the client profile and set the status to **Inactive**. The client disappears from the active client list but stays fully preserved with all tasks, notes, content calendar and financial history.

Inactive clients can be found via the **Inactive** filter at the top of the Clients page. Want to pause temporarily instead of deactivating? Use status **Paused**.

Question 17

What is the difference between Inactive and Paused?

Accepted Answer

**Paused** = temporary interruption. The client stays visible in the list but is not counted in monthly profit calculations and open-task stats. Integrations with GHL, Canva and Drive remain intact.

**Inactive** = definitive goodbye. The client disappears from the active list, no longer counts anywhere and can only be found via the **Inactive** filter. All data is preserved.

Use Paused for a client's vacation or contract pause, Inactive for cancelled clients.

Question 18

Which tabs does the client profile have?

The client profile is divided into tabs:

**Overview** – summary with audience, brand identity, KPIs and recent activity.
**Tasks** – all tasks for this client.
**Content** – designs, published content and the content calendar.
**Client info** – general details, contacts, person profile, integration links (GHL, Metricool) and the client folder.
**Financial** – monthly rate, client costs, invoices and history.

Edit data via the **Edit client** button in the header of the profile.

Question 19

What is the difference between Management and Growth (service package)?

**Management** – basic package: Senly helps you with content, tasks and standard reporting for this client.

**Growth** – extended package: on top of Management, this includes extra reporting, ad follow-up and proactive growth guidance.

The service type is visible on the client card and is used in automatically generated reports and in the profit-per-service-type statistics.

Question 20

What is the person profile in the Client info tab?

Accepted Answer

The **person profile** is a free text description of the person behind the client. You use it to capture communication style, preferences, sensitivities and personal background. Ideal for handover between managers — if you're on vacation or a colleague takes over the client, they immediately know how to best deal with this person.

Example: "Mark is direct in communication, no smalltalk needed. Likes humor but no sarcasm. Works late evenings — don't call him before 11am. Always wants to review captions himself before publication."

Max 2000 characters. Open client profile → tab **Client info** → section **Person profile**.

Question 21

Is the person profile included in AI prompts?

Accepted Answer

No. The person profile is intentionally NOT linked to the AI Caption Generator or other AI tools. This is a privacy choice: the field is intended for internal handover and may contain sensitive personal info (health issues, family circumstances) that does not belong in a prompt.

For writing instructions to AI, use the **Notes & wishes** section with types DO / DONT / Context / Inspiration — those are sent to the AI.

Question 22

What is the difference between person profile and notes?

Accepted Answer

**Person profile** (Client info tab) — free text about the person themselves: how to communicate with them, what a colleague should know during handover. NOT shared with AI. Max 2000 chars, 1 field per client.

**Notes & wishes** (own section on the profile) — structured instructions and context with types:

- **DO** — what fits this client
- **DONT** — what does not fit
- **Context** — background information
- **Inspiration** — ideas and references
- **Temporary** — temporary notes
- **Internal** — only for the team, not for AI

These notes (except Internal) ARE included with AI content generation.

Question 23

How do I add a note to a client?

Accepted Answer

Open the client profile and go to the **Notes & wishes** section. Click **+ Note** and choose a type: DO, DONT, Context, Inspiration, Temporary or Internal.

Notes get a timestamp and are visible to the whole team. DO / DONT / Context / Inspiration are included in AI prompts; Internal stays team-only.

How do I link Google Drive to a client (client folder)?

Accepted Answer

First, your agency needs Google Drive connected — that's done by the admin under **Settings → Integrations → Google Drive**. There the agency chooses a root folder (e.g. "Clients") inside the agency's Drive.

On the client profile → tab **Client info** → section **Google Drive**, Senly automatically matches an existing subfolder with the same name as the client. Match correct? Then you immediately see all files in that folder within the portal.

No existing folder found? Click **Create client folder** to automatically create a new subfolder under the root.

Question 25

How do I manually choose a different Drive folder for a client?

Accepted Answer

Client profile → tab **Client info** → section **Google Drive** → button **Choose different folder**. You get a navigable folder picker with breadcrumbs — click through subfolders until you find the right one and click **Pick this folder**.

The picker also has a search field to quickly find a name. The chosen folder is linked to the client; the auto-match is overridden.

Question 26

What is "Create client folder" and when do I use it?

Accepted Answer

In each subfolder in the Drive picker you see a **⭐ Create client folder** button. With one click, Senly creates a new subfolder under the chosen spot with the client name as folder name — and links it directly to the client.

Handy if your root folder is e.g. organized by year ("2026/") and you want to drop the new client there as a subfolder. No manual switching between Senly and Google Drive needed.

Question 27

How do I view client files without going to drive.google.com?

Accepted Answer

Client profile → tab **Client info** → section **Google Drive**. There you see a list of all files in the linked client folder. Click a subfolder to navigate deeper — the in-portal browser opens with breadcrumbs.

Click a file for an inline preview (PDF, photo, video). Prefer to open in Drive itself? Use the **Open ↗** button to jump to drive.google.com.

Question 28

The Drive link isn't working — what now?

Accepted Answer

Check:

1. **Is Drive connected at the agency level?** Open **Settings → Integrations → Google Drive** — does it say "Connected"?
2. **Is a root folder chosen?** Without a root folder, Senly can't match or create client folders.
3. **Does the linked Google account have access to the folder?** The account you've connected must have edit rights on the root folder.
4. **Token expired?** OAuth tokens sometimes expire. Click **Reconnect** in the settings.

Question 29

Does the Drive integration also work on a whitelabel domain?

Accepted Answer

Yes. The OAuth flow with Google works under any linked whitelabel domain (e.g. `portal.youragency.com`). The redirect URI is dynamic — you don't need to configure anything manually.

After connection, client folders are matched the same way as on the standard Senly domains.

How do I view a client's activity history?

Accepted Answer

Open the client profile → tab **Activity**. There you see all events chronologically: created designs, completed tasks, status changes, invoice lines, contact moments and bookings — all in one place.

Filter by type via the chips at the top (e.g. show only designs or only bookings).

Question 31

How do I link a client to a GHL contact?

Accepted Answer

Open the client profile → tab **Client info** and enter the **GoHighLevel contact ID**. You'll find that ID in GoHighLevel at the relevant contact (in the URL or via Contact → Details).

Faster: click **Find contact** for a picker that searches GHL contacts and fills in the ID automatically. After saving, tasks are automatically synced. Make sure the GHL integration is active under **Settings → Integrations**.

How do I link a Metricool account to a client?

Accepted Answer

Open the client profile → tab **Client info** and fill in the **Metricool Blog ID** field. You'll find that ID in Metricool under the account settings of the relevant client.

After saving, scheduled posts from this Metricool account automatically appear in the portal's Content Calendar, and Senly pushes new content back to Metricool.

How do I set a client's target audience?

Accepted Answer

Open the client profile → click **Edit client** in the header. In the edit screen, fill in the target audience: primary audience, age category, location, pain points and buyer personas.

This information is used by the AI tools (caption generator, content ideas, hashtag suggestions) to deliver more relevant output. The more specific you are here, the sharper the AI results.

How do I set a client's brand identity (colors, fonts, logo)?

Accepted Answer

Client profile → tab **Client info** → section **Brand identity** (or via **Edit client**). Fill in primary + accent color, upload the logo and type font names (e.g. "Inter", "Playfair Display").

The brand identity is automatically used for AI content, design templates and automatically generated monthly reports. No logo? Senly uses default styling with only the chosen color as accent.

How do I change the emoji or icon of a client?

Accepted Answer

Open the client profile → click **Edit client**. In the edit screen you can pick an emoji or icon that represents the client.

The icon is visible on the client card and in list overviews — a recognizable icon makes it easier to quickly distinguish clients in long lists.

How do I pin a client to the top of the list?

Accepted Answer

Click the **pin icon** on the client card or in the client profile. Pinned clients always appear at the top of the client list, regardless of the chosen sort order.

Practical for VIP clients or clients you work with daily. Pinning is personal — a colleague does not see your pins.

How do I see how many open tasks a client has?

Accepted Answer

On the client card in the overview you immediately see the number of open tasks as a badge. Click the client card and go to the **Tasks** tab for a full overview, sorted by deadline.

From the global Tasks page you can also use the client filter to show only tasks of one client.

Question 38

How do I add an evaluation meeting?

Accepted Answer

Open the client profile and look for the **Evaluation meetings** section. Click **+ Evaluation** and fill in the date and notes. You can optionally upload a PDF report.

Evaluation moments are shown chronologically and help track client conversations. Handy for the yearly cycle of strategy meetings.

How do I change the order of clients?

Accepted Answer

Client numbers determine the default sort order. Adjust the **Client number** via **Edit client** to influence the order.

You can also sort by name, date or rate via the sort button at the top of the client list. Pinned clients always appear at the top regardless of sorting.

How do I set per-client availability?

Accepted Answer

Open a client → tab **Meetings**. There you can set separate working hours per client (e.g. a client who only wants to call on Wednesdays). This override applies only to appointments via the client-specific booking link.

For general availability, use **Meetings → Settings → Availability**.

How do I duplicate a client?

Accepted Answer

Open the client and click **More → Duplicate**. A copy is created with the same service settings, audience and brand identity, but without existing designs, tasks or invoices.

Handy to quickly set up a new client with the same structure as an existing one — e.g. when you want to manage multiple franchise locations of one brand separately.

How do I use tags on clients?

Accepted Answer

In the client profile → click **Add tags**. Tags are freely fillable (e.g. "hospitality", "VIP", "waiting-for-content"). On the client list, filter via the tag pill to quickly see all clients with that tag.

Difference with service type: service is fixed (Management/Growth), tags are flexible and you can use multiple per client.

How do I temporarily pause a client without deactivating?

Accepted Answer

Open client → set **Status** to **Paused**. A paused client stays visible in the list but is not counted in monthly profit calculations and open-task stats. The link with integrations (GHL, Canva, Drive) remains intact.

Only use deactivate when you definitively say goodbye — then they count in the Inactive filter and no longer in dashboard numbers.

How do I export my client list to Excel or CSV?

Client list → button **Export** in the top right → choose **CSV** or **Excel (.xlsx)**. The export contains name, email, contact person, service type, status, monthly rate and creation date.

Handy for monthly reports or to keep a backup outside Senly.

How do I upload material delivered by a client?

Accepted Answer

Got Google Drive connected? Then upload directly via the client folder (tab Client info → section Google Drive). Drag files into the browser or click **+ Upload**.

No Drive integration? Then use the **Material** tab on the client profile to upload files directly in Senly. For large files (>50 MB), a Drive or Dropbox connection is faster and more reliable.

How do I securely share files with a client?

Got Drive connected? Then share the files or the client folder via Drive itself — Google has built-in share options there.

No Drive? Open a file on the client profile → **Generate share link**. The link is publicly accessible (no login needed) and you can optionally let it expire after X days.

Who can edit client data?

Accepted Answer

By default, **Admin** and **Manager** can edit all client data. **Appointment Setters** and **Sales Managers** can adjust leads and CRM data, but no core client data (rate, status). **Closers** see client data without editing.

The role permissions are fine-tunable per role under **Settings → Team → Roles**.

Question 48

How do I hide certain clients from specific team members?

Accepted Answer

For role **Appointment Setter** or **Closer**, employees only see clients they are explicitly linked to. Open client profile → **Edit client** → field **Assigned to** — choose which team members have access.

Admins and Managers always see all clients — that cannot be restricted.

What happens when I delete a client?

Accepted Answer

Deletion is **permanent**. All tasks, notes, designs, invoices, content and links for this client are irreversibly lost.

Almost always, setting to **Inactive** is the better choice — the client disappears from the main list but you keep the history. Only use delete to remove test clients or duplicated records.

How do I quickly find which clients still have no brand identity?

Accepted Answer

Client list → filter **Incomplete profile**. Senly shows clients with missing brand identity, audience or contact details. Per client you see a red badge with "Profile incomplete".

Ideal to work on onboarding completion in a targeted way — tackle those red badges one by one.

Question 51

How do I set multiple contacts per client?

Accepted Answer

Client profile → tab **Client info** → section **Contacts** → **+ Add contact**. Per contact, fill in name, email, phone and role (owner, marketing, financial). Mark one contact as primary — that one is used for invoice mails and standard correspondence.

Booking mails can optionally be sent to all contacts via the notification settings of a calendar.

Why doesn't my new client appear in the list?

Accepted Answer

Check:

1. **Filter active?** Are you accidentally on the Inactive or Paused filter? Click **All clients**.
2. **Search term active?** Clear the search bar at the top.
3. **Tag filter active?** Click the active tag pill to deselect it.
4. **Role restriction?** Setters/closers only see assigned clients — if you're not linked, you don't see the client.

Still not visible? Refresh the page — sometimes the cache takes a few seconds.

What is the Onboarding page exactly?

Accepted Answer

The **Onboarding** page is a kanban board on which you visually track the onboarding process of new clients. Per new client, you create an entry that moves through different stages: e.g. Intake → Collect brand identity → Create access → Content briefing → Live.

Handy to see which clients are where in the start-up process, and not to forget anything when setting up new accounts.

How do I create a new onboarding entry?

Accepted Answer

Go to **Onboarding** and click **+ New entry**. Fill in:

- **Contact name** – name of the new client contact
- **Company name** – name of the organization
- **Service type** – which package the client will take (Management or Growth)
- **Notes** – particulars about the onboarding process

The entry appears in the first stage of the board. From there you drag it to subsequent stages later.

Question 55

How do I link an onboarding entry to an existing client?

Accepted Answer

Open the onboarding entry and use the **Link client** field. This way the onboarding status is also visible from the client profile.

A client can only be linked to one active onboarding entry at a time. Want to do a repeat onboarding (e.g. new campaign start-up)? Create a new entry without client linkage and link it afterward.

How do I move an entry to a next stage?

Accepted Answer

Drag the entry card on the board to the desired stage column. Alternative: open the entry and change the stage via the dropdown menu in the header.

The change is saved immediately. On mobile, drag and drop also works — just press a card briefly and drag.

Question 57

How do I customize the onboarding stages?

Accepted Answer

Go to **Onboarding → Settings** (gear icon top right). You can add, rename, reorder or remove stages.

Typical stages for a marketing agency: Intake → Brand identity & access → Content briefing → Set up first month → Live.

For different service types you can create separate flows — see the question about multiple flows.

Question 58

How do I assign a person responsible for an entry?

Accepted Answer

Open the onboarding entry and select the desired employee in the **Responsible** field. That person gets a notification and is responsible for guiding the new client through the process.

Multiple employees involved? You can also link subtasks to the entry, each with their own person responsible.

Question 59

How do I create multiple onboarding flows?

Accepted Answer

Go to **Onboarding → Settings** and click **+ New flow**. Give the flow a name (e.g. "SM Management" or "Full service") and set custom stages.

Multiple flows are handy if you offer different service packages with differing onboarding processes — Management has e.g. fewer steps than Growth.

Question 60

How do I delete a completed onboarding entry?

Accepted Answer

Open the entry and click **Delete**. Be careful — this action cannot be undone.

Tip: just leave completed entries in the last stage for a historical overview; they take up little space and provide insight into how many clients you onboarded per month.
